Article
I. Duties of Officers and Directors
Section
1. President
(a)
Shall preside at all meetings and shall be the ex-official member
of all committees.
(b)
Shall conduct the meetings according to standard parliamentary
procedures.
(c)
It shall be his or her duty to see that the PFO is functioning
properly according to the Constitution and By-Laws.
(d)
Shall appoint all standing and special committee chairman.
(e)
Shall approve in writing all bills prior to payment.
Section
2. Vice-President
(a)
Shall perform the duties of the President in the President’s
absence and shall assist the President at all times.
Section 3. Secretary
(a)
Shall record or direct a recording of the minutes of all regular
and special meetings and present them at the next meeting.
(b)
Shall prepare amendments to be added to the Constitution or By-Laws
after they have been adopted by the members.
(c)
Shall conduct the correspondence of the PFO and keep records of
such correspondence
Section 4. Treasurer
(a)
Shall have custody of and shall be responsible for all funds of
the PFO.
(b)
Shall sign all checks.
(c)
Shall receive all monies and deposit same in a checking and /or
savings accounts in a local bank.
(d)
Shall keep proper books of account which shall be available for
inspection by the officers and directors. An inspection shall
occur once per year or at the direction of the President.
(e)
Shall make financial reports at regular meetings and an annual
report at the end of his or her term.
(f)
Shall file tax forms and returns as required by applicable city,
state and federal tax laws.
Section
5. Executive Committee
(a)
Shall decide the PFO’s policies and methods of conducting
activities.
(b)
Shall be available at any time to give advice if called upon by
the PFO members.
Article
II. Standing Committees
Section
1. The following Standing Committees shall be designated at the
discretion of the President:
(a)
Membership: Shall conduct membership drives and keep a register
of paid members.
(b)
Program: Shall plan and supervise the PFO programs, entertainment
and other social activities.
(c)
Publicity: Shall publicize the activities of the PFO.
(d)
Allocations: Shall recommend to the Board the distribution of
funds for scholarships, awards or other disbursements.
Section 2. Standing Committee chairmen are appointed by the President.
Section
3. Standing Committee chairmen shall appoint the members of their
committee.
Section
4. Other Special Committees shall be appointed by the president.
Article
III. Membership Dues
Section
1. Membership dues shall be a minimum of five dollars ($5.00)
per person per year.
